Physical Therapy Office Administrative Assistant

Under the guidance of the Clinical Coordinator, the Physical Therapy Office Administrative Assistant is responsible for supporting and coordinating administrative activities for the Rose Bowl Aquatic Center (RBAC) Physical Therapy Office.

This position is responsible for maintaining
administrative systems, organizing and prioritizing work, and ensuring orderly and timely flow of business through the office. Position works with Clinical Coordinator and the Medical Billing Coordinator to ensure the department complies with all state and local regulations for the delivery of state-funded therapeutic services and medical treatments.

General Responsibilities

  • Greet and check-in patients
  • Read and analyze incoming memos, e-mails, submissions, and reports to determine their
    significance and responds or distributes accordingly
  • Answer the telephone and address the caller’s needs accordingly
  • Manage communication through the patient portal
  • Schedule patients, monitor cancellations and no shows
  • Utilize medical software suite to ensure proper handling of patient records
  • Communicate with medical offices in compliance with HIPAA to collect required patient data to ensure the practice is in possession of required documentation in compliance with state and federal regulations
  • File and retrieve department documents, records, and reports

Preferred Qualifications

  • Associate’s degree or equivalent related undergraduate study
  • Computer proficiency including management of medical patient-relations software
  • Experience in healthcare is preferred

Working Conditions

Work is generally performed indoors, with periodic work performed outdoors that may involve inclement weather conditions. The position requires regular contact with the public. Must be able to work under pressure, exercise sound judgment, and adhere to deadlines.

Schedule, Benefits and Compensation

FLSA Status:
This classification is non-exempt (hourly) from FLSA requirements.

Work Schedule:
Full Time, Up to 40 hours per week, M-F

Anticipated Hourly Pay Range:
$18.00 to $22.00 per hour
